Coordinator - ( 2300027F )DescriptionThe successful performance of
a project depends on appropriate planning and execution. Project
Controls Coordinator is responsible for project metrics such as
cost, time, and resources as well as workflow, documentation, and
communication. This position will support Project Managers, using
cost control processes and tools, to plan and manage project cost
and schedule, and mitigate risks that may impact a project, while
maintaining quality control and document control requirements. The
ideal candidate must be able to coordinate with several Project
Managers, Discipline Leads, and balance multiple projects and

leadership.Your OpportunityAs part of the Project Management team,
our Project Controls Coordinator provides financial analysis
support, accurate commitment and expenditure information,
performance data, timely cost forecasts, and forward-looking advice
to Project Management to support achievement of budget objectives.
This role requires being an integrated member of project teams and
interfacing with internal staff such as office leadership, internal
financial managers, design teams, and external clients and
consultants.In addition, this role includes assisting Project
Managers in organizing and maintaining project records in
conformance with Stantec's internal practice frameworks throughout
the project development process including tracking submittals,
Requests for Information, and Change Orders during
construction.Your Key Responsibilities
- Fully understanding scope of the project and working closely
with the project team to maintain a current and accurate knowledge
of project status, issues, and changes.
- Actively participating in development and maintenance of
project setup documentation, proposals, WBS (Work Breakdown
Structure), budgets, cashflows, estimates to complete, resource
planning, status reports, change management and schedules.
- Reporting to Project Managers and Project Controls Manager to
help address financial project matters. This may include but is not
limited to developing revenue forecasts and fee curves, identifying
variances and barriers to maintaining budget or schedule in a
timely manner, and producing understandable and useful financial
reports.
- Providing assistance with client reporting & project
invoicing/billing. This may include This may include but is not
limited to liaising with finance team for accurate, timely and
compliant project and client billing, completing reconciliations,
monitoring AR/AP, monitoring consultant budgets, assisting Project
Manager with review and approval of consultant billing, and
preparing client status reports as needed.
- Assisting Project Managers with compliance of Stantec and ISO
standards for Project Management, including participation in
audits.
- Overseeing and assisting with coordination of document control
requirements (quality reviews, specifications, RFI's, submittals,
revision control).
- Provide EVM (Earned Value Management) training and guidance to
project teams
- Understanding, optimizing, and implementing Project Controls
processes and system(s) for various project
functions.QualificationsYour Capabilities and Credentials
- Must be proficient in MS Office skills, with advanced skills in
MS Excel.
- Excellent written and verbal communications in both office and
virtual environments a must.
- Demonstrated ability to multi-task, work on several projects or
tasks at once, manage time, organize, and set priorities and make
timely decisions.
- Strong understanding of EVM principles, methodologies, and
practices.
- Ability to analyze and interpret EVM data to assess project
performance and identify variances.
- A/E industry experience preferred.
- Experience with Financial/Cost systems (Oracle, Prolog, etc.)
is preferred.
- Prior work in project controls / project assistant role is a
plus.
- Self-motivated individual with a strong work ethic, capable of
prioritizing and communicating to multiple groups across multiple
offices.
- Positive attitude with the ability to develop and maintain
effective working relationships.
- Strong problem solving and analytical skills, including
attention to detail.
- Willing to take initiative and ownership of areas of
responsibility to meet project requirements.
- Must be organized and organize workflow in a proactive
manner.
- Must be able to work independently and collaboratively with
engineers, project managers, and finance professionals
- Power BI and Access, Microsoft Project, Primavera P6, and
Bluebeam experience a plus.Education and Experience
- Bachelor's degree required. Degree in finance, business,
engineering, construction management or related is preferred with
minimum of 1-year appropriate course work in project management,
accounting, finance, or business preferred.
- Minimum 3 years of project and program management
experience.
- 3-5 years of experience performing financial analysis, cost
management, and other project controls functions over the life of a
project.Position will primarily work in an office setting.This
