Job Description:
This position will support the Clinical Informatics (CI) Program
as well as the Division of General Pediatrics. Under the
supervision of the General Pediatrics' program manager, coordinates
the CI's fellowship training program in accordance with department
and Graduate Medical Education (GME) policies and requirements to
remain compliant. Follows established plans on a yearly cycle,
including recruitment and onboarding of fellows, maintenance of
medical education databases and completion of assigned projects.
Coordinates internal and external program relations, communicating
with faculty and house staff to ensure smooth communications and
effective coordination of GME training programs. Additionally, this
position will administratively support the Division Chief, submit
and process Harvard Medical School faculty searches, and coordinate
research faculty meetings. Finally, this position will assist with
various projects for the Division of General Pediatrics.
- Supporting the Clinical Informatics (CI) Program as well as the
Division of General Pediatrics.
- Coordinating the CI's ACGME accredited fellowship program in
accordance with department and Graduate Medical Education (GME)
policies and requirements to remain compliant.
- Follows established plans on a yearly cycle, including
recruitment and onboarding of fellows, maintenance of medical
education databases and completion of assigned projects.
- Coordinates internal and external program relations,
communicating with faculty and house staff to ensure smooth
communications and effective coordination of GME training
programs.
- Administratively supports the CI Program Director and Division
Chief. Schedules appointments and meetings and maintains the
calendars. Reserves meeting locations, orders supplies and services
and prepares agenda. Prepares travel arrangements, including
airline reservation and hotel accommodations.
- Submit and process Harvard Medical School faculty searches, and
coordinate research faculty meetings.
- Additionally, assist with various projects for the Division
such as the division newsletter or faculty annual career
conferences.
- Plans, prepares and organizes admin requirements for seminars,
conferences and other programs or events. Obtains and organizes
planning information, prepares or orders publicity materials and
advertisements, reserves event location and supplies, equipment and
services.
- Monitors and maintains department supply inventory and computer
equipment. Serves as liaison to support service departments to
request and coordinate services.
- Transcribes and types from recorded dictation or rough draft
correspondence, reports, manuscripts, charts and other materials
including highly complex and/or confidential financial/business
documents. Proofreads and edits materials for accuracy, consistency
and clarity.To qualify, you must have:
- High school diploma or GED required. Completion of two years'
of occupationally specific education or an Associate's degree
preferred.
- Minimum of two years of administrative work experience
required.
- Work requires the analytical skills to resolve problems that
require the use of basic scientific, mathematical, or technical
principles.
- Work requires the ability to communicate effectively both
orally and in writing and provide empathy in difficult
