About the Opportunity JOB SUMMARY Reporting to the Assistant
Director, the Compliance Coordinator will assist with managing
employment regulation compliance for the Office of Student
Employment, Graduate Assistantships & Fellowships. Crucially, the
Compliance Coordinator will develop expert knowledge of federal I-9
regulations in order to oversee the compliance of all student I- 9
forms in the I-9 Service Center. This will include independently
developing strategies for the entire student employment operation,
running reports, delegating tasks to student staff, coordinating
with faculty/staff across the University (such as other I-9
administrators and supervisors of student employees) to ensure
compliance with federal regulations, and communicating key updates
to colleagues and student staff as needed. They will also design
and implement methodologies for the University to best guide
student employees completing Section 1 of the I-9 and submitting
supporting documentation, and they will oversee processing and
compliance of Section 2 of the I-9 as well as any necessary
follow-up. Important compliance procedures such as handling of
remoteI-9 and Tentative Nonconfirmation cases will fall under this
role's authority. The Compliance Coordinator will also manage all
front desk procedures, including supervision, training, and
evaluation of student staff; answering phones and assisting with
walk-in traffic when necessary; and especially addressing escalated
I-9 questions as they arise. This individual will interact with a
student population from a variety of backgrounds and cultures, as
well as their parents/guardians, and must maintain a patient and
helpful demeanor in all communications. In addition, this position
provides support to the Assistant Director in day-to-day operations
as well as special projects. QUALIFICATIONS Bachelor's degree
required; three to five years' experience in an office environment,
preferably in an academic environment Detail-oriented professional
experienced in handling a wide range of administrative tasks and
confidential information Experience with I-9 processing and the
federal E-Verify system is a big plus Must be willing to take
initiative and address compliance issues as they arise Must stay
informed of federal I-9 procedures at all times, as they will be
the primary trainer on such procedures for the office Must
demonstrate maturity, tact, and the ability to maintain a high
level of confidentiality Willingness to assist others with a broad
range of tasks, a positive mental attitude, and a sense of humor
under pressure are critical Excellent written and verbal
communication skills Strong time management skills and a heightened
attention to detail Higher education experience and understanding
of campus climate a plus This is a high-volume office that requires
a resourceful, motivated individual who demonstrates follow-through
Must be able to manage deadlines, work independently, and function
as a solid team member Should be comfortable taking ownership of
projects, but also know when to ask for help Proficiency in the
Microsoft Office Suite and a high level of comfort working with
technology are required Familiarity with PowerFAIDS, Adobe Acrobat,
Workday, Fragomen (I-9 processing system), and/or Banner systems a
plus KEY RESPONSIBILITIES Oversee compliance of I-9 Employment
Eligibility forms for all NU student employees Design and implement
an effective strategy for completion of all student I-9 forms with
excellent accuracy and in a timely manner. This role will be
responsible for ensuring compliance of several thousand I-9 forms
annually. Analyze ongoing compliance by running reports within the
online I-9 Service Center, following up with student employees and
their supervisors as necessary. Seek out and take opportunities to
enhance office operations for improved compliance outcomes. Ensure
that the office accepts supporting documentation from student
employees in accordance with federal regulations and office
protocol, maintaining compliance and confidentiality at all times.
Make independent judgments as to the validity of legal documents.
Design and execute initial and ongoing training for front desk
student assistants on employment paperwork from start to finish.
Oversee high-volume document collection procedures for New Student
Orientation events to ensure efficiency, accuracy, and security.
Expertly guide student employees through any extended I-9
obligations such as remote I-9 completion, Tentative
Nonconfirmation actions, and re-verification as needed. Supervise
student staff and front desk Establish students' front desk
coverage schedules, work assignments, training, and evaluations
with the support of Assistant Director each semester. Delegate I-9
related tasks to student staff as necessary, providing training
when needed and independently following up to provide feedback.
Ensure all closing responsibilities are consistently completed and
office is clean and secure at closing time. Demonstrate patience,
expertise, and helpfulness in all interactions: via phone, email,
and in person at our front desk. Ensure timely and effective
response to e-mail inquiries directed to our I-9 inquiry mailbox,
under this position's authority. Develop and maintain up-to-date
and in-depth knowledge of federal I-9 regulations
Follow/subscribe/regularly check key resources such as USCIS and
E-Verify web sites, social media accounts, newsletters, and related
professional associations to keep abreast of all updates in
real-time. Design and implement strategies for educating the
University community about regulations and laws. Advise students,
parents, and colleagues (in-office, across campus, and on satellite
campuses) on I-9 procedures as one of the University's foremost I-9
experts. Collaborate with the Office of the General Counsel as
needed to ensure best practices for our office. Develop
professional and technical knowledge by attending professional
development workshops and webinars, establishing professional
networks on campus and participating in professional development
opportunities offered by the university and other department
related organizations Assist with development of outreach
initiatives and other special projects as needed Position Type

Compensation Grade/Pay Type: 105H Expected Hiring Range: $20.77 -
$28.56 With the pay range(s) shown above, the starting salary will
depend on several factors, which may include your education,
experience, location, knowledge and expertise, and skills as well
as a pay comparison to similarly-situated employees already in the
role. Salary ranges are reviewed regularly and are subject to
change.
