Job Description - Project Manager Research Administration / 40 Hours / BWH (3176837) Project Manager Research Administration / 40 Hours / BWH - ( 3176837 ) General Summary We are looking for a high-energy, driven, customer-service focused Project Manager to join the BWH Department of Medicine team. The Department of Medicine (DOM) is the largest recipient of sponsored funding of any Harvard Medical School department and continues to break new ground in biomedical research. The department's research community consists of more than 500 research faculty and more than 400 research fellows. Currently, the Department averages $450MM per year in total research expenditures and approximately 1,800 sponsored research proposals per year. As a part of our DOM Strategic Plan, we are strengthen our research community by providing additional opportunities and resources to support community and collaboration among our faculty. Our focus will be on promoting interdisciplinary work, enhancing IT and administrative infrastructure, and ensuring adequate research space and ---nancial resources. Through strategic investments in our scientific community, the DOM will continue to de---ne the frontier of research and enhance its reputation as the premier place for biomedical scientific discovery in academic medicine. Reporting to the Assistant Director, Research Administration, the Project Manager will assist with a myriad of research-related projects as outlined in the DOM Strategic Plan. These projects include, but are not limited to, designing new support services for DOM investigators, the development and implementation of a research-specific new employee orientation, and research space planning and maintenance. Principal Duties and Responsibilities-- The Project Manager's major responsibilities include:

  • Create a help desk for research administration questions and serve as a centralized research liaison/navigator for DOM research faculty
  • Develop and implement new employee orientation for DOM research faculty
  • Work with designated departmental representatives, divisional representatives, and investigators to develop and document a coordinated approach to the use of research space
  • Responsible for identifying, categorizing and analyzing space utilized by researchers
  • Investigate past, present, and future program resource utilization (including space, grant dollars, and staff) in order to ascertain present and future space-related requirements
  • Analyze and organize qualitative and quantitative research space data
  • Maintain database housing research space allocations across the department
  • Confer with subject matter experts to create a research space management plan
  • Liaison with BWH Research Facilities Planning and Management--team to help manage new construction projects and renovations for DOM
  • Develop reporting tools to inform the ongoing evaluation of research projects and initiatives
  • Produce graphs and data tables for projects and presentations.
  • Organize data and written information into draft projects and proposals.
  • Effectively communicate and present issues to internal leaders.
  • Assist with and lead other analytical assignments and ad hoc reporting as required. Data, Reporting, and Analytics
    • Confer with subject matter experts to negotiate detailed specifications for data extracts, database formats, data entry forms, and workflow.
    • Request, receive, extract, enter, monitor, analyze, and report data and other types of written input for research projects and initiatives.
    • Assist subject matter experts in design and implementation of analyses.
    • Develop and maintain research dashboard inclusive of financial metrics needed to monitor activities for the DOM research divisions.
    • Develop reporting tools to inform the ongoing evaluation of research projects and initiatives.
    • Produce graphs and data tables for projects and presentations.
    • In collaboration with DOM's project managers, organize data and written information into draft projects and proposals.
    • Effectively communicate and present issues to internal leaders.
    • Assist with and lead other analytical assignments and ad hoc reporting as required. Other
      • Assist with special projects which are central to improving analytical tools, internal processes, and the overall management decision process
      • In collaboration with other groups (e.g., Mass General Brigham Research Management) establish streamlined and automated approaches to reporting
      • Stay informed of the changing research environment to ensure accurate data extraction
      • Create manuals of operation for DOM research related activities Qualifications:
        • 3-5 years part time or full-time relevant experience in healthcare or business environment, with analytics, research, or project management experience, is required.
        • Bachelor's degree in related field required. Master's degree in related field preferred.
        • Minimum of 3 years of relevant experience in healthcare environment with extensive project management duties
        • Project Management Professional (PMP)-- or equivalent certification a plus.
        • Advanced proficiency in Word, Excel and PowerPoint is required. Skills/Competencies Required:
          • Maturity to work effectively with all levels of faculty, administration, staff and students. Interact with all levels in a knowledgeable, confident and professional manner.
          • Ability to work both in independent and team-based environments.
          • Astute attention to details and commitment to accuracy and integrity of all data, reports, and communications.
          • Outstanding organizational skills are necessary to manage many competing timetables, responsibilities and deadlines.
          • Ability to plan for the timely and successful completion of short- and long-term objectives.
          • High degree of analytic ability to manage the data aspects of the position.
          • Interpersonal relationship skills needed to manage and motivate others; work with many hospital-wide leaders, administrators, and physicians in a positive and collegial fashion.
