Position Summary:The Fulfillment Team is an integral part of the MH
team, ensuring that operations run smoothly by providing
administrative and logistical support to the multidisciplinary
clinical team in multiple markets. As Director, the ideal candidate
will oversee the strategic planning and the day-to-day operations
of the team. The individual must be self-motivated, mature, and
responsible with excellent organizational, verbal, and written
communication skills. The successful candidate will be a flexible
team player, who can provide structure and organization while
allowing for the unique dynamics of each market/program the team
supports.
Reports to: Vice President, Fulfillment ServicesLocation: Boston,
MA
Principal Duties and Responsibilities:
- Oversees Fulfillment team and is accountable for ensuring the
accurate, efficient delivery of all goods and services into the
home 24/7.
- Will include direct leadership support for manager(s), and
perhaps front-line staff as well
- Responsible for all human resource functions tied to managing
the Fulfillment team, including but not limited to hiring,
promoting, and disciplinary actions.
- Oversee team members, ensuring their mentorship, quality of
work, adherence to protocols, and commitment to our virtual
hospital program, including but not limited to:
- Ensure adherence to defined standards of work
- Provide leadership that inspires the provision of safe,
world-class, high-quality patient-centered care and exceptional
service to our customers.
- Assist with recruiting exceptional talent who are aligned with
the Medically Home mission as we grow the coordinator team
- Assist with defining individual goals and track progress
towards these goals by providing direct feedback to individuals on
the team and senior leadership
- Oversee scheduling, market assignments and special project
assignments
- Leadership duties, including but not limited to:
- Assist with implementations, trainings and in-market support,
as needed, including up to 10% travel, or otherwise mutually agreed
upon with leadership
- Lead collaborative efforts with other departments within
Medically Home such as Product and Supply Chain teams
- Collaborate with leadership to develop and implement new
processes and systems
- Perform other administrative support duties as required
- Providing outstanding customer service. Manage team to fulfill
client expectations as well as ensuring a strong working
relationship with the client command center.
Required Experience and Qualifications:
- 10 years' administrative experience, preferably in a healthcare
setting.
- Master's degree preferred
- Strategic thinking with the ability to connect dots between
systems and operational processes
- Strong leadership and mentoring skills
- Independent problem-solving skills with the ability to
recognize when to involve senior leadership
- Ability to recognize when process improvement is needed and
lead PI efforts
- Excellent organizational skills with attention to detail
- High level of service deliverability including multi-tasking,
ability to prioritize work and meet deadlines and adapt to a
dynamic environment
- Strong written and verbal communication skills
- Computer literacy, including command of Microsoft word,
PowerPoint, and Excel with ability to learn new software as
needed
- Ability to demonstrate respect and professionalism for
patients' rights and individual needs, including demonstrated
ability to maintain HIPAA compliance and other confidentiality
- Excellent customer service skills, including the ability to
manage and triage complex telephone calls
- Comfortable working with a diverse patient population and
multidisciplinary team, including nursing, physicians, and
ancillary service providers such as PT, OT, skilled nursing,
etc.
- Ability to maintain a positive attitude and uphold the
Medically Home culture
- Ability to function with high degree of independence and
autonomy
- In depth knowledge of the service coordinator role, its duties,
and how team engages/supports departments and customers
- Demonstrated leadership qualities including leading by example,
knowing when to escalate, etc.
