The Program Coordinator II will be responsible for:--

• Providing administrative support to the Chief of the Division of Newborn Medicine. Scheduling appointments and meeting and maintaining supervisor's personal calendar. Reserving meeting locations, ordering needed supplies and servicing and preparing agenda and other materials. Preparing travel arrangements, including airline reservations and hotel accommodations--as necessary. Maintaining credentialing records and completing all necessary paperwork. Preparing all Academic Program Harvard Medical School appointments
• Supporting Chief and lab personnel with the pre-award submission process, receiving and editing grant documents in accordance with awarding institution requirements, and providing finalized versions to Division Research Administrator for final review
• Supporting Division Chief's laboratory members and laboratory operations. Ordering and tracking all laboratory supplies. Initiating, routing and tracking administrative forms such as purchase orders and payment requisitions. Supporting the onboarding of all new lab personnel, including posting job advertisements, collecting necessary paperwork for onboarding, and scheduling all necessary training. Maintaining relationships with outside vendors to obtain quotes and scheduling service for equipment and supplies. Coordinating the update of all research protocols
• Assisting with written communication, Divisional websites and promotional materials
• Monitoring and maintaining department supply inventory and computer equipment. Serving as liaison to support service departments to request and coordinate provision of needed services
• Planning, preparing and organizing logistic and administrative requirements for seminars, conferences and other special programs or events. Obtaining and organizing planning information,--ordering publicity materials and advertisements, reserving locations and securing supplies and equipment. Preparing program schedules, collecting and organizing teaching materials, receiving and recording registration forms and fees and monitoring expenses
• Interacting and maintaining liaison with staff, faculty and outside/community agencies in facilitating Divisional objectives
• Preparing special projects for the Chief and Division Director, as neededTo qualify, you must have:--
  • Associate's degree with 2 years of relevant experience. Bachelor's degree preferred
  • Work requires the ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations
  • Work requires the ability to work with diverse internal and external constituenciesPlease note: During a public health emergency, individuals in this role may be expected to take on additional duties to respond to organizational needs.
