Job Description:
The Senior Associate, Human Resources Payroll will be
responsible for all payroll administration and processing for our
offices based in North America.The Senior Associate, Human
Resources Payroll will act as the primary payroll owner including
vendor management and ownership of compliance/audit
responsibilities including overseeing complex jurisdictional tax
and mobility related issues for these three offices 2 of which
operate on a monthly payroll schedule and one a bi-weekly schedule
across multiple payroll platforms and various timelines paying
U.S., Colombia and Canada based employees. A primary focus will be
on is the U.S. bi-weekly payroll, mobility and hybrid work
oversight and implications related to working in multiple
jurisdictions for 700+ U.S. based employees via our Workday payroll
platform and in conjunction with our 3rd party payroll
administrator One Source Virtual (OSV). The role will also be
responsible for oversight of timekeeping routines for U.S. and
Canada based employees.As we grow our U.S. workforce and expand
into more states, the ideal candidate will have knowledge in
Federal and State tax legislation as well as an understanding of
workforce mobility and hybrid work policies and the out-of-state
tax implications is needed.The ideal candidate will be a highly
adaptable self-starter, who is able to respond to a dynamic and
fast-paced environment; and have a powerful sense of ownership, be
action-oriented and can consistently meet tight deadlines with
accuracy and completeness. They should also be keen to maximize the
effectiveness of technologies and supporting processes to drive
continuous improvement and adopt change initiatives.

ResponsibilitiesPayroll Administration
- Administer day-to-day payroll operations, coordinating with
vendors and the internal HR team to deliver pay accurately, in a
timely manner, effectively, and within all regulatory, labor, and
tax guidelines to employees throughout the U.S., Canada and
Colombia
- Responsible for full cycle payroll processing including
preparation, calculations, internal control, and payroll taxes
- Prepare and maintain accurate records and reports of payroll
transactions
- Assist with the reconciliation of quarterly Workday / OSV
payroll data in the U.S. and in partnership with the
Finance/Accounting team
- Ensure compliance with federal, state, and local payroll
withholding as well as wage, and hour laws and continuously
monitors regulatory updates for best practices
- Oversight of time entry auditing of non-exempt staff; time &
attendance support and training for new hires and new managers
globally
- Partner closely with HR team members to ensure employee
compensation updates, new hires, departures, data changes, and
approvals are processed correctly in Workday.
- Work closely with Finance/Accounting team to review and
substantiate payroll accounting entries, payroll related analysis,
and audits.
- Implement complex payroll and tax related changes such as
multi-state, global mobility, hybrid-work and fringe benefits and
be able to document and communicate the complexity and proposed
solutions
- Process shadow payrolls or other expat related items as
needed
- Partner with various groups within the business (e.g. Tax, IT
and Accounting) to provide strategic direction on business needs
and issues related to payroll.
- Liaise with other advisors both internally and externally in
setting up new entities or work locations when needed
Payroll, Benefits, HRIS Data and Report Management
- Form a strong partnership with the benefits team to ensure
seamless transitions to payroll relating to benefit deductions,
compensation, health insurance, income/disability protection,
retirement, time-off and leaves impact payroll
- Monitor 401K employee deferral plan changes, ensuring
appropriate system configuration, and timely and accurate funding
of employee contributions and employer match
- Assist with vendor relationships including contracts, invoices,
and the reconciliation of bills with Finance
- Monitor the HR mailbox and address immediate payroll related
concerns in a timely manner; escalate complex issues when necessary
with recommended solutions to the Payroll Manager
- Participate in HRIS payroll-specific enhancements in Workday or
with other global payroll service providers related to reporting,
process administration, to improve employee experience, etc.
- Assist with other HRIS Workday related projects/enhancements as
needed
HR Global Processes & Special Projects
- Assist with special HR projects as they arise
EducationBS Accounting or Finance / CPA, CFA or equivalent
Work Experience
- 5+ years of U.S. payroll experience required and global payroll
experience preferred
- Experience navigating HRIS systems; Workday experience
ideal
- Experience with multi-state payroll processing required
- Experience with FSLA regulations
- Knowledge of payroll terms, as well as both standard and
complex calculations and payroll laws
