The Assistant will be responsible for providing administrative assistance to Senior Management, the Human Resources Department and VOAMASS Program Directors. As the Office Assistant, you will welcome on-site visitors, answer phones to field general questions about the agency. As the HR assistant, you will play a key role in internal staff recruitment, onboarding, and data management.This role is about making a difference in the lives of the people we serve. You'll bring the following qualifications: High School Diploma and a minimum of 3 years of HR and/or office experience. Work history and demonstrated interest in nonprofit administration, preferred. Advanced computer skills including MS Office Suite and Applicant Tracking Programs requiredStrong Interpersonal skills and demonstrated excellence in written and verbal communication Strong organizational and planning skills Key Responsibilities: Coordinate the activities of the office such as mail, visitors, phone calls, etc in an efficient, organized, business-like mannerManage calendar for the CEO, COO and other managers as neededAssist the CEO by providing administrative support, especially as it related to Board activityArrange the location, meals and supplies for various meetings. Attends meetings as appropriate and manage related mannersOversee the organization and maintenance of the main office building and equipmentWork with preferred office supply, IT and phone vendors to ensure efficiency and qualityInsure the proper confidentiality of sensitive information is maintained and maintains file system for personnel and organizational materialsInsure supplies are in place as needed and ordered within budgetPerform HR duties such as pre-hire processes, managing employee data regarding employment history, training, personnel files, benefits and project work.Provide a high level of customer service to staff and managers with routine, day to day, HR questions, needs and inquires. Resolve concerns and guide to the appropriate resource. Respond to external inquires for employment verifications and benefit information. Enter all employee data for new hires, benefit enrollment, termination processing, etc. Act with the highest level of confidentiality and demeanor at all times.Maintain general HR records and filesWork closely with the accountant to ensure an accurate and complete bu-weekly payroll.Utilize payroll and recruiting software to generate reports.Enter data into training software, benefits administration, and other HR systems.All other duties as assigned.Since 1934, VOAMASS has provided critical services to the residents of the Commonwealth.
