Job Description:

The Pappas Rehabilitation Hospital for Children (PRHC), operated by the Massachusetts Department of Public Health (DPH) is seeking a dynamic applicant to assist the hospitals' Clinical Scheduling & Staffing Supervisor by performing administrative support functions. The selected candidate will assist with development, revision and coordinating work procedures to ensure the efficient and effective flow of work for the hospital.

This is an exciting opportunity for a candidate to support the Supervisor of Clinical Scheduling & Staffing and the Chief Nursing Officer (CNO) within a public health hospital setting through assistance with the tracking and forward movement of clinical positions in the posting/hiring process, as well as maintaining and modifying data on a variety of scheduling and computerized staffing systems for all units, including float block when applicable.

Duties and Responsibilities (these duties are a general summary and not all inclusive):

  • Partners closely with the supervisor on strategic plans developed for the hiring needs based on unit acuity; Interacts with HR to complete the hiring process at the direction of the Clinical Scheduling & Staffing Supervisor.
  • Assists, develops, and revises work procedures to ensure the efficient and effective flow of work in collaboration/approval with the Chief Nursing Officer and Clinical Scheduling Supervisor.
  • Executes Nursing Department scheduling system by inputting information for all shifts and units into personal computer. Makes appropriate adjustments according to policy.
  • Coordinates implementation of software programs, including roll-out of scheduling software.
  • Acts as a primary resource for all appropriate staff to provide technical assistance with scheduling software utilization.
  • Supports Clinical Scheduling & Staffing Supervisor in all elements of clinical hiring (scheduling clinical interviews, conducting interviews where appropriate and all follow up on the onboarding process).
  • Prepares various department records and reports such as Benefit Relief Time utilization, Holiday scheduling and Time and Attendance records.
  • Maintains an approval system for clinical overtime booking and paid time-off requests.
  • Contacts Nursing staff to solicit volunteers for authorized overtime. Notifies employees of approved overtime and extra time.
  • Approves and monitors approval and denial of requested time off according to policy.
  • Executes payroll processing to ensures clinical schedules, overtime and benefit relief time used are reported accurately in the payroll system.
  • Attends assigned meetings (staff, scheduling and position control meetings) as needed.
  • Prepares materials such as correspondence, reports and memoranda

    Required Qualifications:
    • Strong computer, administrative and software utilization skills.
    • Capacity to exercise discretion in handling confidential information.
    • Excellent oral and written communication skills.
    • Talent for interacting effectively with different business departments, and team members.
    • Ability to work independently and collaboratively with diverse groups.

      Preferred Qualifications:
      • Prior experience in a healthcare facility desirable.
      • Skilled in exercising a high degree of initiative, judgement, discretion, and decision making to achieve objectives.
      • Highly collaborative, creative style and flexible approach.
      • Aptitude for working in fast-paced with an ever-evolving environment that has a high level of scrutiny.
      • Proficient with Microsoft Office applications including Excel, Word, Outlook, PowerPoint, and Teams; Experience with an Applicant Tracking System (ATS) such as Taleo/Oracle a plus.

        Pappas Rehabilitation Hospital for Children (PRHC) located in Canton, MA is a Joint Commission Accredited 60 bed pediatric hospital predominately serving children and young adults (ages 8-22) operated by the Massachusetts Department of Public Health. The mission of PRHC is to provide medical, rehabilitative, educational, recreational, habilitative, transitional, and complementary alternative medical services to children and young adults with multiple disabilities, assisting them to achieve their optimal level of independence in all aspects of life. PRHC offers coordinated medical care and therapies in a hospital-based environment, as well as, K-12 schooling, located on the grounds. Educational Services are provided by the Department of Elementary and Secondary Education. In addition, PRHC offers a wide variety of recreational opportunities such as swimming, horseback riding, adaptive sports, and many opportunities for socialization for disabled children and young adults.

        MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) two years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.


        I. A Bachelor's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*

        II. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

        *Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
