Coordinator, Gift Opportunities and Moves Management Harvard
Business School 53335BR Job Summary The Coordinator is responsible
for administrative activities that support frontline fundraising
activities including prospect management, fundraising results and
the designation of major gifts. They report to the Sr. Associate
Director of Development Administration and support--three
development staff members: the Senior Director of Strategic
Projects, the Sr. Associate Director of Moves Management and Gift
Opportunities and the Assistant Director of Moves Management. This
position helps drive project management and coordination for the
team with significant decision-making responsibilities.--
Job-Specific Responsibilities This individual works independently
with limited supervision in a fast-paced work environment with
multiple conflicting priorities. They are a process-oriented,
strategic thinker who anticipates and proactively resolves
problems, excels at multi-tasking, is a team player, is flexible
and adaptable, and has strong project management and data
management skills. They deliver excellent customer service, and
works collaboratively with other support staff and colleagues. In
addition to providing day-to-day administrative support, this
individual owns substantive projects benefiting the
organization.
Responsibilities include:
Development Activities: Prospect Management and Gift Opportunities
Coordination of monthly development fundraising reporting
dissemination and archiving on key strategic metrics for managers
and staff. Assists with data integrity auditing to ensure accurate
fundraising reporting. Management of Workfront proposal request
system. Reviews all submissions for accuracy and adherence to HBS
business practices, addressing any questions prior to data entry.
Serves as the liaison with ERIT coordinating large data requests
and tracking progress to completion. Support for Gift Opportunity
pipeline management that includes pulling and compiling information
to support pipeline reviews and tracking and requesting of any
necessary data updates. Maintains proposal notes for verbal
commitments, planned gifts and undesignated commitments and the
pending funds list to keep gifts with required next steps front of
mind for development officers. Supports portfolio management
activities including compiling the agenda and materials for the
monthly Prospect Strategy Sessions (PSS) and maintains records of
decisions and rationale in Advance and files and tracks outstanding
items needing attention. Provides training and serves as a resource
to DAC peers on HBS business practices for all prospect management
activities. Management of gift agreement and terms requests in
Workfront. Drafts gift documentation for managers review. Tracks
the terms review process with Alumni & Donor Services (ADS) and
maintaining information in Workfront and provides managers with
regular updates on outstanding items. Partners with donor relations
and gifts management teams on all new restricted fund requests,
updates or gift transfers. Ensure accuracy of gift information and
communicates necessary background to facilitate a seamless
transition of the donor from solicitation to stewardship.
Responsible for maintaining organizing and updating the team's
internal shared files and fundraiser share-sites that provide tools
and resources for frontline officers. Administrative Support
Maintains and manages the calendar for Senior Director, Strategic
Projects and schedules all team and team-led meetings. If needed,
will take meeting notes and communicate the information as needed.
Coordinates travel, meeting and event preparation for managers as
needed. This includes compiling research, providing event support,
preparing materials for alumni, working on expense reports, sending
follow up material to alumni and entering contact reports, next
steps and strategy notes. Drafts monthly and ad hoc team
communication emails and tracks metrics. Other
administrative/professional responsibilities as needed. Basic
Qualifications College degree strongly preferred, or an equivalent
of education plus relevant business experience. Five or more years
of related experience. Education beyond high school may count
toward experience. Additional Qualifications and Skills Proven
communication and interpersonal skills (written and verbal) with
experience providing complex administrative support. Must be highly
organized and detail-oriented. Must possess the ability to
establish and promote good working relationships with colleagues
(both peers and more senior), alumni, and donors. Must be flexible
and have strong project management skills to effectively handle
multiple priorities in a fast-paced environment from different
supervisors with competing deadlines. Must be able to take
initiative and work independently to make decisions, meet
deadlines, and also be a strong team player. The ability to handle
highly confidential material with tact and discretion is required.
Must have a working knowledge of Microsoft Excel, strong
familiarity with all Microsoft applications, and facility with
learning new software / databases. Excellent customer service
skills required for frequent interaction with donors, high-level
volunteers, and colleagues. Anticipates and resolves problems to
effectively fulfill these responsibilities. Familiarity with
Advance Web or other Customer Relationship Management
programs/reporting tools and a working knowledge of complex excel
functions a plus. The ability to work during reunion weekend
(2x/year) and during some designated University holidays is
required.
Other Preferred Qualifications
The ideal candidate will act as a leader amongst the greater
Development Administration Team and set a positive example for
other support staff across the team. While experience managing
others is not a requirement for the role, an inclination towards
peer mentorship and an impulse to improve processes and foster
teamwork is strongly preferred. Experience in a development shop is
also a plus. Additional Information This position is approved for a
2-year term (with the possibility of renewal/extension) which
begins on the person's first day of employment. This 2-year term
limit does not apply to current Harvard employees.
During the current period of COVID-19 related restrictions, this
position may start as a remote position with the transition to
onsite at HBS campus in Boston, MA when the office reopens.
