POSITION

THE POSITION

The Executive Assistant will provide support in the Chief Operating Officer Group which provides business management across the firm's investment platform. This role will focus on support of the Early Career Investor program providing both tactical and programmatic support for the Director. Additional responsibilities within the COO Group which include ownership of the Portfolio Review program. The ideal candidate is a proactive, motivated professional who seeks to partner with the Director on this evolving program. S/he will possess strong organizational, multi-tasking skills and excellent attention to detail along with outstanding service-orientation, mature judgment, and independent problem-solving. S/he will be a team player with a strong work ethic and the capacity to prioritize in a deadline-driven environment.

RESPONSIBILITIES

He/she will manage the overall daily support needs of the Director and other team members:

  • Complex and proactive global calendar management
  • Coordinate logistics for internal and external meetings or events
  • Detailed materials preparation in Word, Excel, PowerPoint, OneNote and other internal systems
  • Schedule domestic and international travel arrangements
  • Maintain various types of confidential information
  • Perform diligent telephone coverage and gatekeeping
  • Handle daily mail, filing systems, expense tracking and reporting
  • Develop and maintain strong collaborative relationships with multiple internal and external constituencies
  • Provide cross-coverage and back-up support to other Administrative/Executive Assistants
  • Assist with ad hoc project work, as required, within immediate team and broader COO Group functions

QUALIFICATIONS

  • Minimum 3 - 5 years of experience in a complex, global professional environment; experience in the investment management industry will be viewed favorably
  • Advanced proficiency in MS Office (Word, Excel, Outlook, OneNote & PowerPoint) with an ability and desire to learn new technology to drive efficiencies
  • Outstanding interpersonal and communication skills, plus high level of reliability, professionalism and discretion
  • Strong service orientation and proactive problem-solving skills
  • Excellent organizational, multi-tasking, and prioritization abilities
  • Fastidious detail orientation and overall work quality
  • Ability to work under deadlines and to accommodate last-minutes changes
  • Positive, can-do attitude; flexibility; sense of humor
  • Undergraduate degree with strong academic credentials preferred
