The Athletic Scheduling and Sports Information Manager resides in the Athletics Department within the Operations Division of the Boston Public Schools, reporting to the Senior Director- Athletics, is responsible for managing the athletic scheduling process and ultimately all of the athletic schedules for Boston Public Schools. The Athletic Scheduling and Sport Information Manager will work with BPS Athletics staff, coaches, athletic coordinators and key stakeholders to support the student-athlete experience through well organized athletic schedules. The athletic schedule guides and informs various operational supports of the athletics program and within the City of Boston. The overall planning, management and ongoing support of scheduling will ensure a quality athletic experience and advance the mission of the Boston Public Schools. The Athletic Scheduling and Sports Information Manager will serve in a mid level role within the Athletics Department.


  • Assist in organizing and administering the overall program of BPS Interscholastic Athletics
  • Manage the scheduling of all BPS Varsity, Junior Varsity (JV) and Middle School Sports in coordination with Sr. Program and Operations Coordinator, Safety Services, Facilities, Transportation, Official Assignors, Boston Parks & Recreation, and others
  • Provide direction and support to Coaches regarding processes and procedures for athletic scheduling and events
  • Convene with coaches, athletic coordinators and principals to support and engage in scheduling process
  • Ensure schedules meet all BPS, City of Boston and MIAA guidelines/compliance standards
  • Assist in coordinating schedules and contracting of all sports activities within the district as well as distribute, monitor and coordinate schedules for key stakeholders (Security, Police, Parks, Transportation, Official Assignors, Local Media/BPS Communications)
  • Assist with securing outside facilities for athletic team needs
  • Monitor and manage rescheduling of all postponed or changed events
  • Create and monitor budget forecasts based on athletic scheduling requirements, standards and guidelines
  • Manage seasonal MIAA Tournament Scheduling and Entries
  • Identify opportunities to streamline or explore greater efficiency in schedules
  • Troubleshoot unforeseen issues (ex. bus, official or other team does not arrive, space is double-booked, etc)
  • Schedule and assist with organization of all seasonal coaches meetings
  • Coordinate/Manage BPS Special Events- All Star Games, Recognitions, Seasonal Awards
  • Coordinate/Manage, with assistance of Department, BPS City Championship Events
  • Develop, manage and execute department timelines and work plans
  • Support BPS permit and City of Boston requests
  • Represent BPS Athletics and Boston Public Schools on MIAA, and additional committees
  • Perform other related duties as requested by the Senior Director of Athletics


  • Bachelor's degree in relevant field
  • Minimum of 2 to 3 years Administrative Experience
  • Highly proficient with Microsoft Office and Google Suite (Email, documents, spreadsheets, slides, etc)
  • Demonstrated ability to analyze and communicate complex issues both verbally and in writing
  • Scheduling experience; strong analytical, problem solving and follow through skills
  • Demonstrated experience interacting with a diverse population and professional experience working with urban youth
  • Excellent interpersonal and communication, including verbal and writing, skills
  • Demonstrated ability to work as the member of a team as well as ability to work independently as a self-starter
  • Ability to work outside of usual business hours
  • Extensive knowledge of Athletic Programs
  • Ability to manage multiple deadlines and work in a fast-paced environment
  • CPR, AED Certification
  • Current authorization to work in the United States
  • An understanding of and commitment to gain greater understanding of what is necessary for an urban school system to enjoy continuous improvement in an increasingly complex and competitive environment.
  • A deeply held and unyielding belief in the overarching mission of public education.


  • Master's degree in relevant field
  • Experience with, or knowledge of, school and/or conference scheduling
  • Familiarity with scheduling concepts/ models, philosophies and management software
  • Athletic event management experience
  • Experience working in a central office setting with various constituents and stakeholders
  • Knowledge of National Federation of State High School Associations (NFHS) and Massachusetts Interscholastic Athletic Association (MIAA) regulations governing athletics
  • Demonstrated completion of MA required annual Concussion Training
  • Familiarity with Boston and Boston Public Schools
