Job Description:

The Office Services Specialists' primary responsibilities are to provide first point of contact for all visitors and staff, team with the Office Services Senior Specialist to drive day to day operations of the office, and perform ad hoc administrative tasks as necessary.

  • Bachelor's degree (required)
  • Minimum one year experience in a professional service environment preferred
  • Proficiency with Microsoft Office applications, Slack, Trello
  • High energy and enthusiasm, willing to get involved
  • Organization, responsiveness, and ability to handle challenges with poise and tact
  • Excellent written and oral communication skills and interpersonal skills
  • Flexible team player mentality; solid customer service orientation and qualities

Office Services Responsibilities:

  • Reception duties:
  • Greet and direct guests, answer and route phone calls, manage incoming and outgoing packages
  • Reserve conference room space and assign guest office space as needed
  • Sign in guests upon arrival

  • Liaise with building staff for maintenance requests and visitor security access
  • Coordinate meeting logistics and catering for small groups and meetings.
  • Provide backup to the other members of the Office Services team as necessary, especially on days with multiple internal events
  • Manage general office requests:
  • Copying & binding requests
  • General admin for visitors
  • Nametags

Events Responsibilities:

  • Assist with affiliation events, including annual holiday party, summer retreat, offsite meetings and events, cohort events, community service projects, internal "celebrations" events, etc.
  • Suggest and solicit creative and new ideas to keep our affiliation program fresh and motivating
  • Coordinate event communication - prepare guest lists and invitations, send confirmations, track RSVPs
  • Act as on-site facilitator for event attendees
  • Coordinate IT/AV logistics for meetings
  • Research venue options, make occasional site visits
  • Assist with budget estimates and options to ensure events remain within budget guidelines

Office services team members, office stakeholders, and visitors.
