Job Description:

GENERAL RESPONSIBILITY:The Professional Development Program Assistant oversees the day-to-day activities and organization of the professional development office for Head Start & Children?s Services, including Child Development Associate (CDA) Program. He/she will assist the Professional Development and Career Advancement Coordinator with coordinating training and coursework for Head Start, Early Head Start and community educators.The Professional Development Assistant is responsible for promoting the mission of ABCD Head Start & Children?s Services; building an understanding of the program by communicating this mission to staff, families and the community.ESSENTIAL DUTIES:Assist with Coordination of Professional Development

  • Assist educators with the CDA training process with direction from the Coordinator;
  • Maintain educator professional development tracking systems;
  • Provide tuition vouchers to educators during Urban College?s registration periods;
  • Design recruitment and special event materials;
  • Coordinate the application process to request transcripts and credit for courses from the Urban College of Boston;
  • Maintain a system for expenditures of the professional development office, including invoices submitted by training consultants;
  • Work closely with other departments concerning purchasing, contracts, personnel, check disbursements, payroll and other administrative matters;
  • Assist with preparation and of course materials for training and courses (attendance, fliers, certificates, evaluations);
  • Collaborate with ABCD Head Start programs, city/state professional development programs, and internal departments;
  • Attend professional development and other related meetings;
  • Participate in ongoing Head Start, CDA, EEC, Quality Rating and Improvement System (QRIS) webinars;
  • Assemble necessary materials for meetings and professional development activities (courses and trainings);
  • Engage in ongoing staff development to expand professional skills.Clerical and Administrative Work
    • Oversee the department?s clerical functions and general office procedures;
    • Create and maintain individual staff files and ensure that all information is accurate and up-to-date;
    • Receive phone calls, visitors, and arrange for appointments and interviews;
    • Draft and type correspondences;
    • Maintain the departmental records for correspondence through phone, email, and mail;
    • Maintain organization and inventory of office supplies and prepare requisitions for approval;
    • Oversee the lending and returning of AV equipment.JOB KNOWLEDGE, SKILLS & ABILITIES:
      • Demonstrated knowledge of and sensitivity to the educational and socioeconomic needs of the children and families served;
      • Ability to work with a variety of software programs including MS Publisher, MS Word, Microsoft Access and Microsoft Excel;
      • Excellent written and verbal communication as well as interpersonal skills;
      • Successful experience in working as a member of an interdisciplinary team;
      • Ability to respond to sensitive family situations in a non-threatening and professional manner;
      • Ability to set and maintain professional boundaries with staff and families;
      • ?Behave in a professional manner;
      • Keyboarding skills, computer literacy and familiarity with various applications such as database, word processing, e-mail and internet;
      • Ability and willingness to engage in ongoing staff development to expand professional skills;
      • Knowledge of neighborhoods served by programs and city-wide services relevant to the programs population;
      • Proven ability to keep accurate written records and documentation;
      • Attend and participate in community activities, training, and night meetings as needed;
      • Possess bilingual ability where appropriate. Translates as necessary or when needed;
      • Ability to deal sensitively and effectively with persons of diverse social-economic and cultural backgrounds;
      • Demonstrated knowledge of educational planning, training and evaluation.QUALIFICATIONS:
        • A minimum of an Associate?s Degree in Business Administration, Early Childhood Education, or a related field and up to twelve months of relevant experience required
