The MGH the Cardiovascular Imaging Research Center (CIRC) is a world-leading multidisciplinary multimodality academic research center with national and international scientific leadership in translational and clinical studies using cardiovascular PET, MR, and CT and a hub for MGH investigators with interest in CV imaging research. CIRC faculty is leading major NHLBI funded clinical trials in patients with acute and stable chest pain (ROMICAT I and II (JACC 2009, NEJM 2012) and PROMISE (NEJM 2015), prevention trials such as REPRIEVE, a multinational trial for the prevention of cardiovascular events in patients living with HIV and the Framingham Heart Study, which has created our current understanding of cardiovascular prevention. Emerging high-impact multidisciplinary translational research areas include cardiotoxicity of novel and established cancer therapies, shared cardiac/cancer risk factor profiles, artificial intelligence, and the central role of inflammation and the underlying systems biology, including the brain/stress inflammation pathway. As a program, we have an outstanding team of about 35 people including multidisciplinary faculty, research fellows from many countries around the world, and a strong operational support team including project managers and research assistants.

CIRC is seeking a highly qualified individual that will provide day-to-day administrative support to the Center Directors, general administrative support to the program as well as the support of specific tasks related to the research organization. This position provides a unique opportunity to master comprehensive administrative tasks central to a large research program. The Staff Assistant I directly report to a senior clinical research project/ program manage


Day-to-day administrative support to the center director (30%)

* Calendar Scheduling
* Assisting with travel arrangements and hotel reservations;
* Compilation of materials for travel including itineraries;
* Receipt and processing of travel reimbursements and business expense claim through PeopleSoft;
* Submission of e-Checks for invoice payment;
* Assistance with Curriculum Vitae formatting, keeping within Harvard Medical School guidelines;
* Licensing and credentialing maintenance;
* Helps with conflict of interest disclosure for manuscripts submission;

General Program support - ca. 35 people (40%)

* Fellow onboarding/off-boarding, visa, credentialing, reappointments;
* Onboarding of weekly non-employees, including summer interns;
* Interview scheduling;
* Maintenance of office (purchase orders, equipment, building, seating arrangement, badge access)
* Timekeeping through Kronoss
* Organization of events (party, photo shooting, team lunch, etc.)
* Tracking the annual vaccination and compliance training

Specific Research support (20%)

* Editing and coordinating the bi-monthly center newsletter;
* Coordinate to update center website contents;
* Coordinating the annual career conferences of faculty and fellows;
* Scientific meeting itinerary for center participants;
* lab meeting scheduling, including conference room booking, ordering of food, arranging for audio visual support;

Maintain and update Standard Operation Procedures for all above (10%)

Works Independent, able to learn and understand organizational efficiencies and hierarchies

* good common sense to anticipate issues and prospectively recognize things that need to be done
* Exceptional organizational skills, attention to detail, understands the challenges of complex administrative processes
* Exceptional interpersonal communication and writing skills
* Proficient computer skills (word, excel, ppt)
