Job Description:

Facility Services Supervisor oversees the administrative function
of the office including property and office management,
mail/supply, technology and security.Overall, this position ensures
the office runs as smoothly as possible for the firm, so that staff
can focus on their work objectives.Duties and Responsibilities:
- Provides reception or concierge (front of office) coverage;
Provides 5-star customer service to all employees.
- Inspects general office space and equipment following the
provided inspection checklist.
- Creates work orders including uploading photos to initiate
repairs.
- Oversees office equipment maintenance and safety tests.
- Ensures conference rooms are clean and furniture placed
according to plan.
- Coordinates onboarding of approved vendors on-site and
assisting the Sr. Regional Property Manager and Critical
Environments on providing feedback on vendor performance while
on-site.
- Breakroom organization, cleaning, and stocking including
administration of healthy snack program.
- Coordinates support for all office facilities and office
functions needs.
- Receives inbound mail/packages; Manages outgoing mail/package
transactions. Distributes mail/packages to company personnel.
- Maintains the Business Service Center and monitors level of
office supplies on the floor, replenishing as needed.
- Assists Property Manager with coordinating ergonomic reviews as
requested by employees and assisting with set-up of any approved
ergonomic accessories.
- Perform "desktop/peripheral" duties such as computer delivery,
computer pick-up and return to client's imaging center, assist with
distribution and management of peripherals such as mice, keyboards,
docking blocks, to including keeping a detailed inventory of
devices.
- Oversees first-level response and support for local
technology/AV issues.
- Assist with minor, but important health and safety tasks such
as monitoring "sharps" containers, battery recycling, AED/first aid
monitoring.
- Oversees and provides local administrative support of client's
Corporate Security, Safety & Health initiatives, including
access/badge control system, visitor registration system, onsite
fingerprinting, badge issuance, incident reporting, Safety Squad
Program (CRP/first aid training & emergency preparedness, including
liaison with building management related to annual evacuation and
shelter-in-place drills).Qualifications and Education Requirements:
- High School Diploma (or equivalent) required.
- 1+ years prior relevant work experience such as: concierge,
administrative services, hospitality, office services, mailroom,
facility coordination, or similar.
- Strong verbal and written English communication skills.
- Computer skills including Microsoft Office Suite and experience
using online software applications.
- Ability to handle multiple tasks simultaneously.
- Good organizational, independent, and time management
skills.
- Working knowledge of office equipment.
- Ability to remain calm, organized, and clear headed during an
emergency event.
- Analytical abilities and aptitude in problem-solving.
- Required to maintain an overall professional appearance and
attitude.
- Ability to work assigned work hours determined by
manager.Physical Demands
- Fine and/or gross motor skills, including the ability to grasp,
lift and/or carry or otherwise move packages on a standard wheeled
cart with a load capacity of 60 lbs.
- Ability to walk, bend, kneel, stand, and/or sit for an extended
period of time.
- Manual dexterity required for operating office machinery
(phone, copy machines, binding equipment, etc.).
- Physically able to talk on the phone and input data
simultaneously.
- Ability to lift or move 40 lbs. or greater frequently.
- Specific vision abilities required by this job include close
vision, distance vision, ability to adjust focus and ability to
match or may include detection of differences between colors,
including shades of color and brightness.Travel: Some local travel
