join our ABIOMED team located in Danvers, MAPer our J&J Flex
Policy, the expectation for this position is to work in the office
3-4 days per week and work from home 1-2 days per week.At Johnson &

belong.The Executive Assistant will provide comprehensive
administrative support for the Chief Medical Officer at Abiomed,
within the J&J MedTech organization. The ideal candidate will
bring skills that will enhance the performance of a team bringing
transformational medical technology and clinical trial innovation
to patients worldwide. This is a dynamic, fast-paced and
collaborative environment where multiple competing demands are
common, the standards of performance are high, and adapting and
executing is required on a regular basis.Job Responsibilities:
- \r
- Provide comprehensive and proactive administrative support to
the Chief Medical Officer, Abiomed to enable effective
prioritization and maintain consistent internal and external
engagement.
- With both internal and external stakeholders, acts as a role
model for professionalism, courtesy, and excellent interpersonal
communication on behalf of the Medical Office team.
- Builds and maintains a complex and highly fluid calendar
coordination working closely with global cross functional business
partners, with a keen and proactive sense of prioritization and
time management to ensure maximum effectiveness and efficiency of
time.
- Lead and manage complex travel arrangements/itineraries,
including but not limited to domestic and international travel for
internal (J&J) and external (business-partner-facing) meetings,
processing of Visa/Passport requirements, global meeting and
conference registrations and travel details, and providing active
support in case of unforeseen travel disruption, including
coordinating travel plans with business partners to maximize the
use of company resources and time.
- Closely partner with colleagues across all levels in the
organization to organize meetings, ranging in attendee size and
subject matter - from 1:1s to global town halls, and provide
necessary logistical support including technology, meals, room
setup, and day of meeting point of contact support.
- Prepare expense reports, most of which are incurred while on
global travel and require consideration of and compliance with
healthcare compliance requirements, in a detail-oriented, timely
and compliant manner.
- Coordinates and attends Leadership Team meetings and other
staff and leadership activities for the Chief Medical Officer;
coordinates all materials, tracks action items and follows up as
needed.
- Consistently performs admin duties such as PO creation and
submission, troubleshooting workplace facility/technology issues,
physical and electronic file management, organizational chart and
distribution management, and ad hoc team management transactions in
Workday
- Monitors email and other communication continuously and
real-time from team members, internal colleagues, external
professional and other colleagues and associates such as, but not
limited to, FDA, symposia faculty and course directors, physician
key-opinion-leaders(KOL's), hospital administrators, nurses and
other HCP's, site investigators in clinical trials.
- Demonstrate proficiency working with the range of technologies
required to execute the duties of this role and a proactive
interest to quickly learn new technologies and features as
needed.
- Maintains professionalism, strict confidentiality and
discretion at all times while exercising independent judgment to
solve complex problems, often under minimal direction or
supervision. Demonstrates J&J leadership imperatives and
Credo.
- Maintain strong working relationships with all stakeholders,
including Abiomed cross functional administrative assistants,
creating an efficient and effective teamwork atmosphere and
supporting team connectivity and collaboration across a globally
dispersed team.\r\r
